Hiring Agreement

If the hirer is in any doubt as to the meaning of the following, please consult the booking secretary before signing the booking agreement.
For the purposes of these conditions the term "HIRER" shall mean an individual hirer or where the hirer is an organisation, the authorised representative.
"THE COMMITTEE" shall mean The Shelsleys' Village Hall Management Committee.

 

Purpose and Period of Hire
The hirer shall not use the premises for any purpose other than that agreed at the time of booking the hall unless agreed in advance with the booking secretary.
Booked hire period must be strictly adhered to.

Extra time will be charged pro - rata.

 

Supervision
The hirer who must be over the age of 18 , will during the period of hire, be responsible for
the supervision of the premises and grounds. The contents of the building must be paid for if damaged or lost however slight.

The Hirer shall indemnify the committee for the cost of repair of any damage incurred to any part of the property or the contents of the building, which may occur during the period of the hiring and as a result of the hiring. This means Internal and External of the hall.

The Hirer will be responsible for the behaviour of all persons in whatever capacity using the premises and for maintaining good order during the hire period. Responsibility extends to the proper supervision of car parking, avoiding obstruction of hall exits.

 

Licences and The Law
The Hirer shall ensure that nothing is done with-in the boundaries of the Hall in contravention of the law relating to gaming, betting and lotteries. The Hirer shall ensure that any activities involving children and young people comply with the 2004 Children's Act. 

The Hirer shall familiarise themselves and abide by the conditions set out in the premises licence. Especially please note the Village Hall does not have a licence for the sale of alcohol and the permitted capacity is 80 persons. 

The Hirer shall, if preparing, serving or selling food, observe all relevant food, health and hygiene legislation and regulations.

 

Health and Safety

The Hirer shall make themselves familiar with emergency exits, fire alarms and extinguishers and to appoint the right stewards who will be instructed to act in the event of an emergency.

Fire Exits and Doors must be kept clear at all times all fire exit signs to be left on.

The Hirer shall ensure that any electrical appliances brought to the premises and used, shall be safe and in good working order and used in a safe manner.
The Hirer shall be responsible for the erection and dis-mantling of any equipment peculiar to their needs.
Tables, chairs and other equipment must not be dragged across the floor.

End of Hire Period
The Hirer shall, at the end of the hiring period, be responsible for leaving the premises, its contents and surrounds in a clean and tidy condition.
The Hall floor must be swept clear of any grit to avoid damage to the surface.
All equipment and furniture must be returned to its designated storage area, the tables to be stored on the wheeled trollies and tied off with securing strap to avoid injury to other people using the hall (unless a private agreement has been met).

Internal lights, water heaters and taps to be switched off and the hall properly locked.
The Hirer is responsible for the removal of all rubbish from the premises and surrounds.
The Hirer is responsible for placing the keys in the post-box on the outside door immediately following the booking period.

Hirers Right To Cancel

If the Hirer wishes to cancel a booking before the date of the event and the " Committee " is unable to conclude a replacement booking the question of payment or re-payment of the fee shall be at the discretion of the committee. Only having made payment in full before a booking actually secures the date and time booked.

Committees Right To Cancel
The Committee reserves the right to cancel a hiring in the event of the hall being required for use as a "Polling Station" for Parliamentary or Local Government Elections or any other reason which might arise, in which case the Hirer shall be entitled to a refund of any deposit already paid.

Limited Liability:
In the event of the Committee cancelling a booking, the liability to the Hirer is limited to the total hire charge or deposit.

Unfit For Hire:
In the event of the hall or any part thereof being considered unfit for the use for which it has been hired, the Committee shall not be liable for any loss or damage.

Misrepresentation:
In the event it transpires that the Hirer has misrepresented the use to which was intended , the Committee reserves the right to cancel the booking without liability.

Alterations and Amendments:
The committee reserve the right to alter or amend any of the above conditions, as circumstances require.
